Job description
Ensure understanding of and compliance with Raffle Rules, Financial Controls and CNIB Foundation policies and procedures.
  • Fully read, understand and be able to implement all measures within the Raffle Rules and Financial Controls.
  • Receive training from the Electronic Raffle System administrator on use of Ticketing Devices and generating electronic reports.
Coordinate Ticket sales and related processes and procedures.
  • Be present on the grounds during the entirety of each Raffle (minimum 10am to 10pm) to coordinate the Raffle.
  • Arrive at the EXPO Centre two hours prior to the start of the 50/50 Licensed Event and prior to the K-Days grounds being opened to the public.
  • Prepare small cash floats in advance, in cooperation with the Seller Coordinator and Banker.
  • With the Seller Coordinator, take the Raffle System’s handheld ticketing devices and cash floats to the count room in the EXPO Centre “Count Room”.
  • Ensure that once the Ticketing Devices and floats have been delivered to the Count Room, at least one staff person remains in the Count Room at all times.
  • Ensure that Sixty minutes prior to the K-Days grounds being opened to the general public, security personnel are stationed outside the door of the Count Room and remain in place until all money handling processes are complete in the Count Room at the end of the evening.
  • Coordinate the check-in of sellers to the Count Room during the 50/50 Licensed Event, ensuring that all volunteers are selling in pairs and that each pair has a float, aprons, and a Ticketing Device.
  • Use the following forms and reports as part of the financial controls process: Sign-In Sheet; Seller Sheet; Ticket Cash-out Report; Ticket Sales Report; and Winner Sheet
  • Coordinate the Cash Out procedure when Sellers return to the Count Room, and ensure that all Sellers have completed Cash Out as of 9:45pm each day.
  • After all cash is received and recounted, assist accounting personnel in preparing a deposit slip. The cash is put into deposit bags, labelled for deposit in the 50/50 raffle Licensees designated bank account.
Coordinate Reconciliation and Draw
  • In cooperation with the Banker, reconcile the number of sold tickets and the total amount sold as indicated on the Sellers Sheets, to the Electronic Raffle System to ensure that all eligible tickets form part of the Draw.
  • Count and record all money (including floats) in the Raffle System to generate the final reconciliation.
  • Hold the Draw in accordance with the 2019 K-Days 50/50 Raffle Rules.  
  • Once the winning ticket has been drawn, ensure that the winning ticket number is posted by 11:00PM to the K-Days website (k-days.com), the K-Days Facebook page, and a voice recorded message that can be accessed.
  • Ensure that the ticket holder of the winning ticket completes and signs the Winner Sheet acknowledging they are the Winner, and request that of the Winner that the Winner’s name and city of residence be listed on the K-Days website (k-days.com) and is posted on the K-Days Facebook page.
Create and lead an amazing team:
  • Assist in developing the active volunteer base needed to support Raffle operations.
  • Assist in training and engaging a team of volunteers to sell Raffle tickets at K-Days.
  • Develop and foster an inclusive, empowered culture where every team member feels their contributions towards our mission are equally valued and respected
  • Lead by example in bringing our values to life – working with passion, determination, ambition and a positive spirit to change people’s lives, and society itself

The duties and responsibilities outlined above are indicative of the role but are not exhaustive and may be subject to change as required.

Relationships:
  • Liaison with community partners, agencies, volunteers, staff and clients to support and implement Raffle goals.
  • Develop, encourage and promote effective partnerships and community relations that support the Foundation's mission
  • Work closely with the Executive Director and collaborates effectively with management, peers, staff and volunteers
  • Engage and supervise a team of Program Coordinators in Alberta

  • Ability to provide effective solutions to routine as well as complicated problems utilising diplomacy analysis, creativity, and problem-solving skills
  • Ability to respond to and resolve customer and volunteer issues in a timely manner

  • Provide positive leadership and coaching to volunteers within the Raffle team
Qualifications
What do you bring to the table?
  • A history of involvement in 50/50 draws and/or other raffles falling under AGLC oversight.
  • A track record of successfully leading and motivating staff and volunteers.
  • Understanding of tracking and reconciling cash floats and cash management statements.
  • Excellent interpersonal communication skills, with the ability to plan and deliver clear communications to a diverse audience.
  • Demonstrated understanding of diversity and accessibility needs.
  • Good relationship builder and networking skills.
  • Excellent analytical, problem definition and problem-solving skills.
  • Proven time management, planning, coordinating and organization skills.
  • Professional attitude, results oriented, strategic and flexible.
Experience and Education:
  • Secondary degree (minimum) or post-secondary diploma in a related field
  • Knowledge of AGLC policies and procedures is an asset
  • Knowledge and experience working in a not-for-profit or charity
  • Personal or professional experience relating to blindness and vision loss is considered an asset
Working conditions
  • Willingness to work flexible hours

  • Moderate travel will be required
